NEW APPLICATION PROCESS STARTS 1st JULY 2026

Alexander Fund – New Requirements (Effective 1 July 2026)

Applies to all events taking place on or after 1 July 2026. Events before this date follow the previous rules.

  • All grants remain at the discretion of the Trustees; Trustees’ decisions are final 

  • Grants awarded must be divided equally between all participants, thus ensuring that each receives the same refund against their original expenditure

  • Alexander Fund financial year: 1 January – 31 December

Application Limits

  • Groups: up to 9 applications per year (inclusive of all sections). 

  • Explorer Units: up to 3 applications per year.

  • Districts: up to 3 applications per year.

Application Deadlines

  • Must be submitted within 2 calendar months of the event’s final day (previously 3 months).

  • Applications received after 2 months will not be presented – no exceptions. 

  • Applications must arrive at least 7 days before a Trustees’ meeting. Meeting dates are noted above.

  • Applications arriving after this timeline (but still within the 2-month limit) will be considered at the next meeting.

Invoice Requirements

Only camp fee invoices confirming total attendance numbers are required. Invoices for activities, transport, or food are no longer needed.

Night-rate increases are intended to help cover these costs.

Cover Letter Requirements

Applications must include a cover letter with photos (max 3 A4 pages) explaining:

  • Purpose of the event

  • Who attended

  • Scouting goals achieved

New Application Form

  • A new form will be available on the website (PDF & Word).

  • Must be used for all events after 1 July 2026.

  • Applications not on the correct form will be returned.

  • The date received is only recorded when the correct form is used.

Grant Rates

1. Day Events

  • £10 per young person

  • £10 per adult only if the adult has paid to attend (at Trustees’ discretion)

  • Maximum grant: £2,000 (at Trustees’ discretion)

  • Must include details of Scouting activities and badge work completed

  • Theme parks and aqua parks are not eligible

     

2. Camps (1 night or more)

  • £20 per young person per night

  • £20 per adult per night only if the adult has paid to attend (at Trustees’ discretion)

  • Maximum grant: £5,000

  • Each camp requires a separate application

  • Camps over 14 nights will be considered individually

     

3. International Camps (Groups & Districts)

  • £20 per person per night

  • Maximum grant: £5,000

  • Six month notice is no longer required

  • Applications may be submitted after the event, but still within the 2 month limit

  • Must be supported by the District Lead Volunteer

  • Counts towards the group/district annual totals

     

4. Jamborees

  • Considered individually

  • Still require 6 months’ notice

  • Payment is based on total event cost and may be a percentage contribution

  • Not guaranteed

Training Grants

Eligible

  • Mandatory Scout training for adult volunteers

  • Requires proof of attendance and successful completion 

Specialised training

  • Considered individually

  • Maximum £100

Not eligible

  • Young people under 18 

Other Grants

Building Repairs / Maintenance

  • Must apply before work starts

  • Must state work required and funds already raised

Equipment

  • Considered individually

  • Estimates required before purchase

Start-up Grants

  • Up to £250 per section for new groups
